FINANCE COORDINATOR

Position: Finance Coordinator

Hours: 40 hours per week including some weekend and evening hours.

FLSA Status: Exempt

Location: In-office, Hybrid

Reports to: Director of Finance and Development

About Asian Pacific Islander Legal Outreach

API Legal Outreach is the largest social justice legal organization focused on the Asian/Pacific Islander, Latinx, and immigrant communities of the Greater Bay Area and the Central Valley. A growing community-based organization founded in 1975, our mission is to provide culturally competent and linguistically appropriate direct services to the most marginalized segments of our community including low-income women, seniors, immigrants, and youth. With offices in Oakland and San Francisco, our work is focused in the areas of Gender-based Violence, Immigration and Immigrant Rights, Disability Rights, Senior Law and Elder Abuse, Anti-Human Trafficking, Youth Violence Prevention, Anti API Hate Violence, the preservation of affordable housing and small businesses, and other social justice issues.

Position Overview

The Finance Coordinator, reporting to the Director of Finance and Development, will play a key role in managing the organization's finances, which includes completing a significant amount of reconciliation of general ledger accounts and annual reporting to outside agencies. This position is based primarily in our Oakland office, with additional responsibilities related to our San Francisco office. The role requires a knowledge of accounting, general knowledge of payroll and benefits, and a strong commitment to social justice and frequent interactions with a diverse range of stakeholders and good communication skills. The ideal candidate will be dedicated to serving underserved Asian and Pacific Islander communities and BIPOC communities in the Greater Bay Area.

Key Responsibilities:

Financial Management and Oversight (15%)

  • Oversee the financial operations of the organization, ensuring compliance with standards and regulations.
  • Supervise Finance Associates and contractors, manage payroll, benefits, and financial reporting.
  • Collaborate with the Executive Director for fiscal planning and budgeting, as well as other department supervisors regarding payroll and benefits matters
  • Monitor and review financial stability and grant audit requirements.

Financial Reporting (25%)

  • Reconcile bank accounts (at least 15) on a monthly basis by the end of the first week of month, in order to prepare internal cash basis income and expense report for Board of Directors
  • Record payroll and payroll tax entries for each pay period in the general ledger, using payroll registers prepared by outside payroll service.
  • Record monthly adjusting journal entries and reconcile general ledger accounts before preparing cash basis income and expense reports.
  • Complete annual reporting for property taxes (both SF and Oakland locations), exemption renewal, business licensing, etc.
  • Work closely with outside CPA firms who prepare the audited financials by submitting required documentation and fulfill test requirements for audit.
  • Prepare certain government grant funded expense reimbursement forms, along with detailed calculations, compile supporting documentation as required by Grant funder.

Grants and Contract Management (20%)

  • Work with the Director of Grant Development for seamless grant administration and contract management.
  • Ensure timely reporting and compliance in the fiscal administration of grants and contracts.

Funder Relations and Stakeholder Engagement (15%)

  • Represent the organization in meetings with funders, government entities, and other financial stakeholders.
  • Develop and maintain positive relationships with funders, sponsors, and public officials.

Strategic Financial Planning (15%)

  • Lead the development of long-term financial strategies to ensure the organization's sustainability.
  • Collaborate with other departments to align financial strategies with organizational goals.

Internal Financial Training and Capacity Building (5%)

  • Provide training to new hires on financial procedures and best practices at least twice a year
  • Ensure that the finance team is equipped with the necessary tools and knowledge to perform their roles effectively.

Other Duties as Assigned (5%)

  • Assist with other organizational tasks as necessary, ensuring the smooth running of the finance department.

Minimum Qualifications

  • Accounting degree
  • Prior experience in grant-funded non-profit organization in finance department
  • Excellent written and oral communication skills
  • Proficiency with PC systems (Word, Database, Excel, QuickBooks and/or other non-profit accounting programs)
  • Ability to work well in a team-oriented, multi-cultural environment.
  • Demonstrated commitment to social justice and to serve disadvantaged persons in the community.

Preferred Qualifications

  • Bilingual/bicultural skills (Spanish, Cantonese, or other API language)
